We are currently seeking a full-time Administrative Receptionist.
Position Overview:
The Administrative Receptionist will work in the Administration Suite and provide support as needed to the CEO, Physicians, Senior Management, Administrative Assistant Team and other staff/guests as directed.
Essential Job Duties:
Unlock and open Administration Suite each morning and unlock/open office doors in Administration area.
Greet guests, patients, staff members and others in a friendly and professional manner both in person and on the phone, assist them or direct to appropriate person or department.
Working knowledge of MS Office (365 preferred) including daily use of Outlook Calendar and Outlook Email, and frequent use of Word, Excel and Adobe PDF programs.
Inventory supplies for the East Lake office 1-2 times per week and order items as needed then unpack, restock and put away supplies upon arrival.
Will need to pick up items that cannot be delivered (company will reimburse mileage).
Requires reliable transportation and the ability to lift and maneuver 30-40 pounds on a regular basis.
Inventory and stock all supplies in the East Lake Administration Suite daily (refrigerator, paper products, etc.
).
Receive inventory lists from all Bienville facilities and order supplies as needed.
Assist Administrative Assistant team with on-call physician schedule changes and notifications, and record keeping for physician extender compliance program.
Assist Administrative Assistant team with credentialing items (completing appointment/ reappointment applications, obtaining signatures, etc.
).
Regular hours are 8am - 5pm, Monday - Friday, with the following exceptions:
Must arrive as early as 5:
30am, 2-4 times per month, to set up physician conferences and depositions.
May leave at 2:
30/3:
00pm on these days if business needs allow.
Must stay as late as 6:
30pm, 2-4 times per month, to set up physician meetings and other meetings/events as needed.
Meeting day responsibilities include, but are not limited to, the following:
Prepare 15-30 meeting binders.
Must be organized with a strong attention to detail and work quickly under pressure with frequent interruptions.
Order, receive and set-up dinner.
Set up meeting space - typically onsite but occasionally offsite.
Requires moving tables and chairs to achieve desired set-up (U-shape, square, etc.
), transferring (with assistance of a cart) heavy containers of supplies to meeting space (food, drinks, meeting binders, etc.
; should not exceed 30-40 lbs.
) then unpacking/moving supplies to achieve appropriate meeting set-up.
Set up virtual meeting access via Zoom, Microsoft Teams, Google Meet, etc.
Coordinate, order and pick up lunch regularly for physician and management meetings and other meetings/events as needed.
Requires reliable transportation (company will reimburse mileage).
Assist Administrative Assistant team with multiple items such as coordinating meetings, lunches, dinners and travel plans, and other duties as needed.
Clean conference rooms before and after meetings.
Perform other duties as required and assigned.
Education:
High School Diploma or equivalent required.
1 - 2 years' experience in an office setting preferred.
1 - 2 years' experience in medical or related field preferred.
Additional Requirements:
Must get along well with others and have a team-oriented work ethic.
Must have exceptional customer service, interpersonal, and communication skills.
Must be able to complete tasks with a high-degree of efficiency and accuracy while working in a fast-paced environment with frequent disruptions.
Must have the ability to work independently while managing time and workload appropriately.
Must be able to travel to all clinic locations and work overtime hours as needed.
